Will every ProFile or Taxprep seat open before February?
Licences that will not activate, an update that breaks a seat, and a shared folder one computer cannot reach. Here is the risk, what good looks like, and what we do.

The risk with tax software seats
It is late January and a seasonal preparer’s computer is ready. The tax software installs, but it will not activate, because the licence is still active on last year’s computer. Another seat stops opening after a Windows update. A third cannot reach the shared return folder. Each problem is small, and each one lands in the week when there is no spare time.
Good looks like the software installed once the way the vendor says, on a dedicated app server, with a licence list, a pre season check that opens every seat and tests a transmission, and remote staff working on that same server.

What we put in place
- Install once on the app server. Tax software lives on a dedicated app server under Hyper-V, installed and updated the way each vendor says. We coordinate with Intuit and Wolters Kluwer before anything changes. Why Hyper-V.
- A licence list and a standard share. We keep track of which seat has which licence, so a replaced computer does not leave a licence stranded. Notice that ProFile and Taxprep differ on UNC paths. That is why we follow each vendor’s own instructions and write them down.
- A pre season checklist. Open every seat, test an EFILE transmission, and confirm that your EFILE software link matches. Our pre season check is a regular offer, so ask us what it covers for your firm.
- Remote staff on the same server. Preparers who work from home open the software on the app server by remote desktop, never exposed to the internet. Safe remote access.
- Backups that include the return files. Backups follow the 3-2-1 rule, stay immutable for 30 days, keep an offsite copy in Vancouver, BC, and we test restores. If a server itself fails, we restore it in under 2 hours.
- One CRA point to re check. From February 2026, an EFILE account is linked to specific certified T1 and T3 software products, and returns filed through software that is not linked are rejected. Can you install and update ProFile or Taxprep?
We look after the IT side: the server, the shared folders, the workstations, the updates and the backups. We are independent IT support, not the software vendor, so questions inside the program go to Intuit or Wolters Kluwer. We work with their support when needed.
Will it run on a virtual server?
Often yes, but ask the vendor about their requirements first. We coordinate with software vendors before anything changes, take and test a backup first, and plan the work around your business hours.
Should we install every Windows update right away?
Security updates matter. For bigger changes, such as a new version of Windows, we check with the software vendor first and choose a quiet week.
