The risk when status lives in many places
A firm keeps track of its work in a spreadsheet, a whiteboard and a lot of email. Each person knows their own clients well. Nobody has one view of everything that is due, who has it, and what is waiting on a client. On a Tuesday in the busy weeks the server goes down for part of the afternoon. The outage itself was manageable. Not knowing what it put at risk was the stressful part.
Good looks like knowing what is due, even on the day the server is not: a shared list or a tool that fits your size, with a copy that survives an outage.
Honestly, the answer is not always new software. We are independent IT support, not a practice management vendor, so we have nothing to sell you here. We help you work out what fits, and what it needs from the IT side to run well.
Start with the question, not the product
- What do you need to see each morning? Usually: what is due, who has it, what is waiting on a client, and where the documents are. A simple shared list can answer that for a small firm.
- If a tool would help, choose one that fits your size. Cloud or on your own server, either can be right. We will tell you what each needs from the network, the server and the sign in, and we will say so if you do not need one yet. - Backups you can trust. So the list of what is due is not lost with the server. Server backups run on Veeam and follow the 3-2-1 rule, stay immutable for 30 days, keep an offsite copy in Vancouver, BC, and we test restores. If a server itself fails, we restore it in under 2 hours.
- A way to carry on during an outage. A printed or offsite copy of the week’s deadlines, kept somewhere that does not depend on the server. We help you decide what belongs on it.

Do we need practice management software?
Not necessarily. A very small firm can do well with a clear shared list and good habits. As the number of clients, staff and deadlines grows, a tool starts to earn its place. We will tell you honestly where you are.
