Benson Hunt Technologies ("we", "us", "our", "BHT") is a Canadian managed IT services provider headquartered in Canada. We are committed to protecting the privacy of personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy laws.This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information in the course of providing our managed IT services, website (if applicable), client communications, and related business activities.1. What is Personal Information?Under PIPEDA, personal information means any information about an identifiable individual, including (but not limited to):

  • Contact details (name, business email, business phone, job title)

  • Client employee information provided for IT support, onboarding, ticketing, or access management

  • Login credentials, access logs, IP addresses, device identifiers (when tied to an identifiable person)

  • Any other information that can identify an individual

We generally handle business contact information (name, title, business address/email/phone) for client representatives, which is often treated with fewer restrictions under PIPEDA. However, we apply the same protective standards to all personal information.2. Purposes for Collecting Personal InformationWe collect, use, and disclose personal information only for reasonable and necessary purposes, including:

  • Providing and managing managed IT services (remote monitoring, helpdesk support, cybersecurity, cloud management, hardware/software procurement and deployment)

  • Communicating with clients and their authorized representatives (quotes, service updates, incident reports, scheduling)

  • Administering client contracts, billing, and payments

  • Responding to inquiries, support requests, or service issues

  • Improving our services, training staff, and ensuring quality control (e.g., reviewing support tickets)

  • Complying with legal obligations, detecting/preventing fraud or security incidents, and protecting our rights/safety

  • Other purposes identified at or before the time of collection, with your consent where required

We limit collection to what is necessary for these identified purposes.3. How We Collect Personal InformationWe collect personal information:

  • Directly from you or your employer/client (e.g., during onboarding, support tickets, contracts, emails, calls)

  • Automatically through IT service tools (e.g., remote monitoring agents, logs, access records — often with client agreement)

  • From third parties (e.g., software vendors, subcontractors we engage under strict agreements, or referrals)

4. ConsentWe obtain your meaningful consent (knowledgeable, voluntary, and documented where appropriate) before collecting, using, or disclosing personal information, except where:

  • Consent is implied (e.g., providing contact details to receive service communications)

  • Collection/use/disclosure is necessary for a contract you/your employer has with us

  • Use/disclosure is for a purpose a reasonable person would consider appropriate in the circumstances

  • Required or permitted by law

You may withdraw consent at any time (subject to legal/contractual restrictions and reasonable notice), by contacting our Privacy Officer. Withdrawing consent may limit or prevent us from providing certain services.5. Sharing / Disclosure of Personal InformationWe do not sell personal information.We may share personal information with:

  • Service providers/subcontractors (e.g., cloud providers, cybersecurity tools, data centres) who are bound by written agreements to protect the information and use it only for the purposes we specify

  • Professional advisors (lawyers, accountants) as needed

  • In connection with a business transaction (merger, sale, financing) — with safeguards

  • Law enforcement, regulators, or courts when required or permitted by law

  • With your consent or at your direction

6. Retention of Personal InformationWe retain personal information only as long as necessary to fulfill the purposes for which it was collected, or as required by law or contract (e.g., for audit, warranty, or dispute resolution purposes). Once no longer required, it is securely destroyed, deleted, or anonymized.

7. SafeguardsWe implement reasonable physical, technical, and administrative safeguards appropriate to the sensitivity of the information (e.g., encryption, access controls, secure data centres, employee training, confidentiality agreements). While we strive to protect personal information, no system is completely secure.8. Access, Correction, and InquiriesYou have the right to:

  • Access your personal information we hold (subject to exceptions under PIPEDA)

  • Request correction of inaccurate or incomplete information

  • Inquire about our privacy practices or file a complaint

We will respond within 30 days (or as permitted by law) and may charge a minimal fee for access requests if allowed. You may also contact the Office of the Privacy Commissioner of Canada if unsatisfied: https://www.priv.gc.ca/

9. International TransfersSome of our service providers or tools may be located outside Canada (e.g., U.S.-based cloud providers). In such cases, personal information may be processed or stored abroad and may be subject to foreign laws (including access by foreign authorities). We use contractual or other appropriate safeguards to provide comparable protection.

10. Changes to This Privacy Policy

We may update this policy to reflect changes in our practices or legal requirements. The updated effective date will appear at the top. Significant changes will be communicated via email to affected clients or posted on our website/client portal.

Continued use of our services after changes constitutes acceptance of the updated policy.
